Exhibits - Information for Exhibitors


Rod Library encourages the UNI community to consider mounting monthly exhibits. The Library has two exhibit cases it makes available to the university community. In general, the exhibit cases and displays are the responsibility of the Library Public Relations Committee. Please contact the Exhibit Coordinator Gail Bunz at <>.

Topics subject to controversy may and should be presented, provided that they are handled in an objective manner. Exhibits may not be used to promote personal, commercial, or political positions. Materials displayed do not necessarily reflect the viewpoint of the Library and/or University 

Proposals for an Exhibit

Written proposals are required from groups interested in using the exhibit cases, and should be submitted via e-mail to the Library's Public Relations Committee.

Proposals should describe the theme, content, materials needed, time and duration of proposed display(s) as well as desired exhibit location, if you have a preference. All proposals will be considered to determine which groups will be granted permission to use the various exhibit cases.

The Public Relations Committee reserves the right to defer scheduling use of cases at particular times in order to allow for the consideration of different proposal. Ordinarily, exhibit cases will be booked no more than one year in advance. Campus departments, offices, and organizations may schedule one exhibit per year, space permitting, with multiple reservations permitted on a tentative basis, with confirmation made no more than 60 days prior to anticipated mounting date.

The Library reserves the right, with proper notice, to reschedule any proposed exhibit if it conflicts with the Library's need for the exhibit space. An exhibit may be canceled at any stage if the exhibitors have not met the agreed upon conditions and deadlines.

Exhibitors are responsible for mounting and removing exhibits on a schedule determined in conjunction with a representative of the Public Relations Committee.  An exhibit must focus on being informative to the patrons who use the Rod Library and be appropriate to a university setting. Subject matter, not the sponsoring organization, should be the primary focus of a display. Both Library and privately owned materials may be used in exhibits.

Rod Library has two exhibit cases that it makes available to the University Community. 

Library Lobby: 106" wide x 73.5" high x 12" deep; divided into 3 sections 32' wide each; aluminum framing with locks 5" wide between sections; 6 adjustable shelves


Mounting an Exhibit

Exhibits usually are installed on the first or second day of the month (or the first weekday). They are removed on the 30th (or the last weekday). Although exhibits are normally left in place for one month, in some circumstances it may be possible to schedule a case for a shorter or longer period of time.

A member of the Public Relations Committee will provide access to the exhibit case and be responsible for the key to the case. After installing an exhibit, and before leaving the Library, the exhibitors should make contact with the committee member to assure the case has been locked and unused materials returned. Committee members also will assist those mounting exhibits in identifying library materials suitable for inclusion in a display, help search for library materials, check them out to a committee member, and place them in an exhibit case. Library materials in circulation may not be recalled for inclusion in exhibits. They also will review Library supplies available for use in displays (See Supplies below for more information.)

Exhibits must include professional looking signs and labels. The title of the exhibit should appear prominently in the display case. The Library Public Relations Committee will place the title and the name of the sponsoring organization in the 5" H x 7"W sign holder next to the exhibit. Individual exhibitors without an organization affiliation may request to remain anonymous.

Materials must be displayed in an archivally correct manner so as to minimize damage done to materials as a result of inclusion in an exhibit. For more information, please see our Library Displays and Archival Standards (pdf). 

Removal of an Exhibit

Items may be added to or removed from an exhibit throughout the entire time the exhibit is displayed. On request, interested patrons may check out any circulating library material displayed in an exhibit case. If items are removed, you may request that other library materials be added in their place. 

Security and Liability

All Library display cases are locked. However, the cases are glass. This places items in the cases at some risk of damage or theft. Rod Library will not be responsible for displayed items that are damaged or stolen. The University of Northern Iowa and Rod Library do not have insurance to cover the loss of or damage to displayed items. The person authorizing the display of her/his items assumes all risk of damage and loss. The person authorizing placement of her/his items in a Rod Library display case is encouraged to determine whether s/he has personal insurance which will pay for damage to or loss of items placed on display in Rod Library display cases. 


Some supplies for use in exhibit preparation and installation are available from the Library. The Public Relations Committee will work with exhibitors to identify useful resources.

Available supplies include colored background paper (pdf), frames (wooden and plastic), easels, mounting pins, tape, and construction paper.

The Public Relations Committee can provide paper in varying colors for use as a background in exhibit cases, and will arrange for its installation.

Each month the Library Public Relations Committee publicizes library exhibits in UNIOnline, MyUNIverse News and the Library's newsblog. Digital photographs will be taken of each display and complimentary photographs will be sent to the exhibit sponsor.
